i'm calling the meeting in order at 7 05 um take the attendance we have nourish my sore
here miriam libdy here kevin goodwin yeah and indian gandhi here and myself pallavina gesha on
the call and um did i send out the march 11th meeting minutes for approval you did okay we
still can't vote on approval of those minutes because we don't have enough voting members
um so we will move um postpone that to the may meeting um the second order was the final funding
votes we can't do that either um we can we can um move that to april the other thing the third thing
down was the review of the reimbursement documentation we are in april i think sorry may may yes sorry
thank you yes may may things um review of the reimbursement document put provided by naresh is
that there do we have it no no so i didn't i don't have that document yeah okay so so sorry kevin i
couldn't hear you i don't think i have it either no no he didn't send it around so um this was something
that we would go over at the april 17th event so nourish do you think you would have it for us to
review it offline yeah i'll uh yeah let me let me try that this weekend and uh send it out sounds good
thank you okay okay um so then there's only the final grantee reception planning um food and beverage
um last time we all just brought in stuff do you still want to do that or nourish do you think we can
just get some small things like crackers and dips and things like that and um use the administrative
funding we have uh yeah i think we can use the administrative funding for food so yeah so all you
have to do is uh submit the if you buy something submit the receipt and uh we'll ask for administrative
funding okay so um we usually do like chips and dip and you know some um we can you know get it from bj
is one of those large trays um bjs i think we did if i remember correctly last year we did like finger
food correct correct correct sounds good so um i'm happy to go pick everything up um typically the senior
center at least last year it had some cutlery we could use but i will pick that um up as well
and we can take it from there what is the budget that we have nourish that i can work with
oh man let me see look it look it up and let me know because i'll probably go next thursday we have
the time so and also i need to know the numbers anyways before i go um okay you mean how many people
will be attending correct i will i will be attending okay um yeah i need to know the grantees as well so
once the rsvp and i get good number i will i will figure out how much food we need um set up and
breakdown mariam did do you get a chance to go see what's there and what we need to do yeah so so we
have like i said uh april 17th 6 to 8 p.m that's half of the big room to the right if you've been there
mm-hmm i think up to around 40 people okay and we can ask they have round tables with chairs so i can
um let me know i can let them know how we want the room to be set up and if we need any av equipment
yeah so we will need a mic and if we if people want to present something i want to have
the that option if powerpoint yeah okay some of the grantees want to show something i want that
option available to us so we could do that um and what about tables how do you want them to be set
up usually we set up around tables with chairs around it so people can chat um and then depending
on the number of people that rsvp we can ask for that many tables um and i can i mean you can tell
them we'll need that and give the final number to them a couple days before is that okay yeah or i can
just tell them to set it up to 40 and then yeah let's say 30 if you can estimate depending on probably
usually we've had like 20 25 people so i think 30 would be a good okay okay if there's any big changes
we can let them we can let them know probably not yeah just FYI our administrative fund is 345 so
okay i'll try to keep that to half of that okay okay as far as the program goes um what we have done
in the past year is um anybody who wants to speak can go speak um i will just do a welcome and if
somebody wants to talk and nourish um i'm assuming you will talk about the reimbursement yeah so uh
yeah so it's basically uh it's all in the letter that you sent out for uh granting right yeah so uh
what i'll do is i was planning to uh review the the letter that goes out uh with the links right and
say okay go to this link for the reimbursement form go to this for that so um that's what i was planning to
do okay okay okay and then i also invite our um representatives and also our um selectmen i don't
know who will um come if they do come and they want to speak they'll get a chance to speak um and then i
invite the grantees who have indicated that they would like to present to present um is there anything
else we want to talk about if there is capacity is there a way remember we talked about this i think
a couple months ago like having a 10 minute presentation about the whole process and then
we can open this up for whoever would like to learn about um applying and everything yeah okay okay so that
way we can solve the of the funding the funding cycle yes yes like for people who haven't heard
about it or used it before okay let's just a mini information couple slides and i don't know if you
were planning because this was by invite only but would you be comfortable opening opening it up if it
has that information please that's yeah that's perfectly okay um i will i will send the um invite
email to all of you and you can forward it to whoever um i will also maybe put it on the on our facebook
facebook yeah yeah yeah if i don't know if one of the youth would like to do a flyer if they have time
yeah if you have the time inian or mustafa's not there but you can ask him if he wants to do a flyer
then that'll be great of course yeah okay so the sooner you do it and give it to me the sooner we can
just start putting it out there maybe if you can send that information email so he can have all the
little pieces yeah okay i'll send it to the whole group so you have it i'll do it tonight after the
meeting anything else we need to think about so did you say that the council will set up the tables
miriam is that what you said if you tell them 30 people get set up the tables okay yes i will tell
them to do it at capacity since we added that information piece right now uh in case people
show up uh i'm assuming maybe maximum people five or ten people may show up if we do that i don't know
um i was thinking probably just to make everyone's life easier maybe grantees who are going to present
can email you the slides so you can just have one thing on one laptop yeah they they give us i think
that different you know yeah tools we need to connect so just we don't have to jump from one laptop to
another yeah that's that's perfectly fine i can do that um and do we want waycam to come and cover us
i think definitely did we have waycam cover last year yes they were there last year yeah um um do we also want the wayland post to come yes yes yeah okay okay um to have a volunteer to reach out to them does anybody have a connection with the valent post at the valent post i i don't okay i mean somebody somebody somebody i know dave dave dave dave what i i don't know dave watkins um personally but i think he'd be one to reach out and i think there might be a way of contacting contacting him through um email or something okay um i can i can reach out to waycam and valent post and see if they can come uh anything else
